JMAX · User Manual

👋 Before you start

You do not need to know anything technical. If you can write a message and click, you can use JMAX.

How this manual is written

Every feature is explained in the same order: what it is, what it is for, how to use it step by step, when to use it and who uses it. Beside it goes the real screen, and below it the video that shows it in action.

If you only want to solve a problem, go straight to If something goes wrong: it is sorted by what you see on screen, not by the technical cause.

💬 2. The screen and the conversation

What you use every day: asking for things, talking to it, attaching files and pointing it at one system.

2.1 Chat

Silver and up

What it is

The screen where you talk to JMAX. Your saved conversations on the left, the chat in the middle, and on the right a panel that shows, live, what it is doing while it does it.

What it is for

Asking it for anything in your own words, the way you would ask a person: a question, a document, an email, an analysis. There are no commands or menus to learn.

How to use it

1. Press «New conversation», top left. A blank chat opens with the cursor already in the writing box.
2. Type what you need in the box at the bottom and press the blue send button, or the Enter key. To start a new line without sending, Shift+Enter.
3. JMAX starts answering as it writes. You do not have to wait for it to finish: if you see it heading the wrong way, press the red square and put it right.
4. When it finishes, below the answer you will see where each fact came from and how long it took. If the fact matters, read it.
5. Rate it with the stars. That is how JMAX learns what worked for you and repeats it next time.
6. The conversation saves itself in the list on the left, with the title JMAX gives it. You can come back to it whenever you want.

When to use it

Whenever you need JMAX to do something. This is the screen where you spend most of the day; the others are for organising and adjusting.

Who uses it

Everyone. It is the first thing that opens and it asks nothing of you technically.

If something goes wrong

It takes a long time to answer the first time

It is loading the brain into memory: up to a minute the first time. The ones after that are fast.

The answer stopped halfway

Press the red square to close it and ask again. What was written up to that point is not lost.

2.2 Attach files (the clip)

Silver and up

What it is

The clip button, the first on the bar: it puts an image, a PDF, an EPUB or a video inside your message.

What it is for

Asking about one particular document without uploading it to Memory or leaving it stored. It is for the one-off.

How to use it

1. Press the clip, under the writing box, and pick the file. You can also drag it straight onto the box.
2. You will see the attachment tray with its name, and a thumbnail if it is an image.
3. Write your question about that file and send.
4. To remove it before sending, press the cross on the tray.
5. You can keep asking about the same file in later messages without attaching it again.

When to use it

For a one-off question about a document. If you are going to consult it many times, upload it to Memory.

Who uses it

Everyone.

If something goes wrong

It will not take the file

Images, PDF, EPUB and video up to four hundred megabytes. Other formats go through Memory.

2.3 Continuous listening (the microphone)

Silver and up

What it is

The microphone button: it leaves JMAX listening the whole time, so you do not press anything each time you speak.

What it is for

Talking out loud, hands free. It is not dictation: it is talking to it as you would to a person.

How to use it

1. Press the microphone on the bar. It stays lit in red.
2. Speak normally. The little level bar moves while it hears you.
3. When you pause, JMAX takes it that you have finished and answers.
4. You can keep talking while it works: what you say is kept and dealt with when it is done.
5. To stop listening, press the microphone again.

When to use it

When your hands are busy or you would rather talk than type.

Who uses it

Everyone.

If something goes wrong

It doesn't hear me

Voice → pick your microphone and check the level bar moves.

It hears itself

It does not: JMAX filters out its own voice. If it answers what it said itself, tell us.

2.4 Focus shortcuts

Silver and up

What it is

The controls button: it puts one system at the centre of the conversation — the CRM, email, the diary, memory — so JMAX knows where to look.

What it is for

So it does not have to guess. With the shortcut on, «find Ana» means «find her in the CRM», with no further explanation.

How to use it

1. Press the shortcuts button on the bar.
2. Pick the system from the list. A tag with its name appears above the writing box.
3. Write as normal: the whole turn centres on that system.
4. You can also type it directly: «/espocrm» and your question.
5. To go back to normal, press the cross on the tag.

When to use it

When you know which system the answer has to come from, and especially if it looked in the wrong place before.

Who uses it

Everyone.

🤖 3. JMAX works for you

What it does while you are not there: it splits the work up, checks what it delivers and does not lose it when you close.

3.1 Background sub-agents

Silver and up

What it is

Helpers JMAX launches for long jobs, which work while you carry on talking. Each has a name and you can watch it work.

What it is for

Not sitting staring at a progress bar. You ask for something that takes ten minutes and get on with your own work.

How to use it

1. Ask for something long as usual: «go through these hundred invoices».
2. JMAX launches a sub-agent and tells you. Carry on writing about something else if you want.
3. Above the writing box a fixed strip shows the live sub-agents and how far along they are. It does not move when you scroll.
4. When one finishes, it leaves its result in the thread and lets you know.
5. To stop one, press it in the strip and choose to stop it.

When to use it

When the job is long and you do not want to wait watching.

Who uses it

Everyone.

If something goes wrong

I thought it had finished and it was still working

That is what the fixed strip above the writing box is for: if something is alive, it shows there.

3.2 It checks what it delivers

Silver and up

What it is

The habit of checking the result before calling it done: whether the file exists, whether the figures add up and whether everything you asked for was met.

What it is for

So «done» means done. Without this, an assistant says it finished and the file is empty.

How to use it

1. There is nothing to switch on: it always runs.
2. When you ask for several things in one message, JMAX separates them and checks each one.
3. If something was not met, it tells you instead of passing it off as done, and tries again.
4. In the Detail panel you can see what it checked and with what result.
5. To make the check stricter, be specific when asking: say the number of rows, the file name or the total you expect.

When to use it

Always. You notice it most on jobs with several parts.

Everyone.

3.3 The work survives closing

Gold and up

What it is

Half-finished jobs are stored on your computer and pick up again when you reopen JMAX, at the point where they stopped.

What it is for

Being able to shut the laptop, leave, and find that what was running was not lost. Before, closing meant starting over.

How to use it

1. Launch a long job, with its sub-agent.
2. Close JMAX whenever you like. Nothing special has to be done.
3. Open it again. The jobs that were half done appear and carry on by themselves.
4. In the sub-agent strip you will see which ones resumed and how far along they were.
5. If you no longer want one, press it and stop it.

When to use it

Whenever you have something long running and need to close.

Who uses it

Everyone.

3.4 It learns from what happens to it

Diamond and up

What it is

JMAX keeps everything it does and studies it: which failures repeat, what got past them, and which brain performs best on your tasks.

What it is for

So the one in three months' time is better than today's, with your data and not with an average from the internet.

How to use it

1. Nothing to do: it learns from normal use.
2. Open «Performance» to see what it has worked out.
3. Under «what trips it up» you see the failure families and what solved them.
4. In the brains table, which one delivers most on your jobs.
5. Use that to decide in Providers which model to leave in each role.

When to use it

Look at it after a month of use, when there is history to study.

Who uses it

The administrator; everyone else benefits without noticing.

3.5 Autopilot

Gold and up

What it is

The plane button: JMAX does the whole task without stopping to ask your permission at each step.

What it is for

Long jobs with many steps, where confirming one by one costs more time than doing it.

How to use it

1. Press the plane on the bar. It lights up and you will see it is active.
2. Ask for whatever you want. JMAX will run it end to end without asking you.
3. Watch it in the Detail panel: each step is logged just the same.
4. It still stops at real danger: shutting down the computer, deleting what is yours, or formatting. There it asks even with autopilot on.
5. To switch it off, press the plane again. And if you close JMAX it starts off: it does not stay on.

When to use it

On long, familiar tasks, once you trust how it does them.

Who uses it

Someone who has used JMAX for a while. It is not the first thing you touch.

If something goes wrong

It stopped to ask with autopilot on

It ran into a vital danger. That is on purpose and cannot be switched off.

3.6 Agent swarm

Diamond and up

What it is

The network button: it splits one job between several agents that work at the same time, each on its own part.

What it is for

So what would take an hour in sequence takes ten minutes in parallel, with each agent on a piece.

How to use it

1. Press the swarm button on the bar.
2. Ask for the big job: «analyse these forty contracts».
3. JMAX splits it and launches several agents at once. You will see them all in the strip above the writing box.
4. Each one leaves its part as it goes. When they all finish, JMAX puts the result together into a single answer.
5. You can stop one on its own without bringing down the rest: press it in the strip.

When to use it

When the work can be split into independent pieces.

Who uses it

Whoever handles volume: several documents, several clients, several sources.

If something goes wrong

It used more than I expected

Several agents at once consume at once. Check it in Metrics before repeating with large volumes.

3.7 Neo · decision making

Diamond and up

What it is

The diamond button: when you ask JMAX to decide something closed —which team an e-mail goes to, how urgent a fault is, whether a payment is fraud—, Neo takes the decision and tells you the option, the probability and the confidence.

What it is for

So everyday decisions do not depend on the mood of the chat model: Neo answers the same way to the same case and, when it is not sure, it says so and asks you instead of acting alone.

How to use it

1. Press the diamond button on the chat bar, to the right of the swarm. It turns teal.
2. Ask for the decision: «does this e-mail go to billing or to support?» or «check whether this payment is fraud».
3. JMAX looks for the matching business case among the 500 and passes it to Neo. You will see the decision with its confidence.
4. If the confidence does not reach the threshold, JMAX shows you what Neo decided and asks you before doing anything.
5. In Providers → Neo you can press «Measure accuracy» to see how often it is right on cases whose answer is known.

When to use it

When something has to be classified, prioritised or answered yes or no, above all if it happens many times a day.

Who uses it

Whoever triages e-mails, incidents, payments or files and wants the same criterion every time.

If something goes wrong

Almost everything comes out as doubtful

That is expected without fine-tuning: Neo would rather ask you than be confidently wrong. Lower the threshold only after measuring accuracy on your own cases.

The first decision took a long time

This PC decides first, and the first time it downloads the model. The next ones take less than half a second.

3.8 Jex · machine learning

Diamond and up

What it is

The chart button: with Jex on, when you give JMAX data —an Excel, a CSV, a pasted table—, the model reasons and Jex calculates. Exact totals, predictions, customer groups and odd rows, with 68 machine learning algorithms that run on your computer.

What it is for

So the numbers do not come «by eye» from the chat model. Each algorithm is a tool you see in the chat, with the reason the model chose it and the proof that it works: how much better it does than guessing. The same data always gives the same result.

How to use it

1. Press the chart button on the chat bar, to the right of Neo. It turns amber.
2. Give it the data: attach the Excel or CSV, or paste the table, and say what you want: «how much did each area sell?», «which customers will leave?», «group my customers», «which rows are odd?».
3. JMAX chooses the algorithm and calls it by name (Random Forest, K-Means…). In the chat and in the Process panel you see which one it used and why.
4. The answer brings the metric against the baseline (guessing the most common class or the average): if it does not improve, it tells you.
5. In Providers → Jex you see the algorithms it runs, «Why it chose each algorithm» and «Measure accuracy» with data whose answer is known.

When to use it

Whenever numbers are involved: totals per group, forecasts, segments, anomalies or which columns matter most.

Who uses it

Whoever works with spreadsheets and wants exact, repeatable figures without sending their data off the computer.

If something goes wrong

It says the algorithm does not beat the baseline

That is an honest answer: with those columns you cannot predict better than guessing. Add columns that explain the outcome or try comparing algorithms (jex_analizar).

It says «Jex does not run that algorithm»

Jex's sheet has 314 algorithms and it runs 68 (the scikit-learn ones). Image, deep text or reinforcement ones are there as reference.

🏢 4. Agents and organisation

When a task repeats, stop asking for it: hire an agent that does it on its own, with its trade and its schedule.

4.1 Autonomous Agents

Gold and up

What it is

Your agents' office: an org chart where each agent is a profile with its trade, its schedule and its boss. They are JMAX working while you are not there.

What it is for

So the work that repeats every week does itself. Instead of asking for the same thing every Monday, you ask an agent once and it wakes up every Monday.

How to use it

1. Open «Autonomous Agents» in the menu on the left.
2. Press «New company or project» and give it a name. It is the folder where the agents for one subject live; you can have several.
3. Inside, press «Hire agent». The profile opens.
4. Fill in the name, the trade and the mission: what it has to do, written the way you would tell someone starting today.
5. Tick «Work on its own» and set the schedule: how often it wakes up and in which hours it may work.
6. Press «Save». The agent appears in the org chart with a green dot when it is active.
7. To say who reports to whom, press «Connect», then the boss and then the helper. The line that appears is the chain of command.

When to use it

When you spot a task you repeat: the Monday report, going through the quotes inbox, watching for a file to arrive.

Who uses it

Whoever organises the work. Creating an agent is not programming: it is writing the job down in plain words.

If something goes wrong

The agent does not work on its own

Open its profile and check three things: «Work on its own» ticked, the mission written, and that right now falls inside its schedule.

It does not show in the list

Only agents that are switched on and scheduled appear. Check the profile.

4.3 Turn it into an agent

Gold and up

What it is

The robot button: it turns the conversation you are in into an agent that will do the same thing on its own, every so often.

What it is for

Making use of what you already explained. If it took three messages to get what you wanted, do not repeat the explanation every week.

How to use it

1. Have the conversation where JMAX already did well what you want repeated.
2. Press the robot button on the bar.
3. The agent profile opens with the mission already written, taken from the conversation. Read it and correct it if needed.
4. Give it a name, a schedule and how often it wakes up.
5. Press «Save». The agent appears in Autonomous Agents and starts working on its next turn.

When to use it

As soon as you notice a conversation you are going to repeat.

Who uses it

Whoever organises their own work.

4.4 Skills Bank

Silver and up

What it is

A catalogue of one hundred and forty-seven ready-made trades — sales adviser, accountant, warehouse assistant — each with what it knows how to do and the limits it does not cross.

What it is for

Not having to explain an agent's trade from scratch. You pick the role from the bank and the agent already knows what to look at, how it is done well and what it must never do.

How to use it

1. Open «Skills Bank» in the menu.
2. Filter by area or search by name until you find the role.
3. Press the card to see the profile: what it does, how you know it is going well, and the limits.
4. If it suits you as it is, assign it from the agent's profile.
5. If you want to change it, press «Edit» and change the lines. One thing per line, no dashes needed.
6. To create a trade that is not there, press «New skill» and fill in the fields. The limits are compulsory: they are what protects you most.
7. Press «Save». You will see the success message and the skill in the bank.

When to use it

When hiring an agent, to give it a trade. And when you want to sharpen how one you already have works.

Check the filter: it may be on and hiding it.

4.5 Telemetry

Silver and up

What it is

A live board with every agent: whether it is working, how much it is carrying, which systems it talks to and where it fails. Green is fine, amber is slow or out of hours, red has failures.

What it is for

Finding out an agent stopped working before the client tells you. Without this, a stalled agent is discovered late.

How to use it

1. Open «Telemetry» in the menu.
2. Look at the summary at the top: how many agents are alive and how many have failures.
3. On the map, each circle is an agent and each line a connection. The lines animate when there is traffic.
4. Press an agent to open its card: its load, its timings and its latest errors. The card stays open even when the board refreshes.
5. If something is red, press the error to see the whole detail: what it asked, what the system answered and at what time.

When to use it

Every morning, at a glance. And whenever something that should have arrived did not.

Who uses it

Whoever answers for the work getting done: the administrator or the head of the area.

The board is empty

No agents are switched on yet. Create them in Autonomous Agents.

4.6 Processes

Gold and up

What it is

The business chain: several steps linked up where what comes out of one goes into the next, and the last one delivers the result by email or chat.

What it is for

Automating work that has several stages. «Collect the quotes, compare them, build the table and send it to me» is a process, not a question.

How to use it

1. Open «Processes» in the menu.
2. Press «New process» and give it a name.
3. Add the first step: what it does and what it produces.
4. Add the next one and connect it to the previous. What the first produces is what the second receives.
5. On the last step, choose how it is delivered: by email, by chat or by leaving the file.
6. Press «Save» and then «Run» to try it once end to end before leaving it on its own.

When to use it

When the work has more than one step and always the same ones.

Who uses it

Whoever knows the business procedure, not whoever knows computers.

The process gets no further than step one

The first step produced nothing the second can use. Run them one at a time to see where it breaks.

4.7 Projects

Diamond and up

What it is

Managing the long work: projects with their tasks, their dates and their owners, as a board or as a list.

What it is for

So months of work do not live in anyone's head. Knowing what is moving, what is missing and who has it.

How to use it

1. Open «Projects» in the menu.
2. Press «New project», give it a name and a delivery date.
3. Add the tasks: name, owner and date. You can drag them between columns to change their state.
4. Assign an agent to a task if you want it done on its own.
5. Check progress on the board; the bar at the top sums up how much is done.

When to use it

On work spanning weeks or months with more than one person involved.

Who uses it

Whoever runs the project.

4.8 Balanced Scorecard

Diamond and up

What it is

The business indicators on one board, split across the four Balanced Scorecard perspectives: finance, customers, processes and learning.

What it is for

Looking at the whole business on one screen, with numbers that come out of what JMAX already does, without typing them again.

How to use it

1. Open «Balanced Scorecard» in the menu.
2. Pick the perspective at the top, or leave them all.
3. Each card is an indicator with its value, its target and its trend. Green is above target, red below.
4. Press an indicator to see where the number comes from and its history.

When to use it

At the review meeting, and whenever a decision has to be made on data.

Who uses it

Management.

5.1 Memory

What it is

JMAX's archive: the documents you give it so it knows them, sorted into workspaces that do not mix with each other.

What it is for

Asking questions of your own paperwork. Instead of searching through a hundred PDFs, you ask and it answers quoting which document and which page it came from.

How to use it

1. Open «Memory» in the menu.
2. Pick or create a workspace. Spaces keep subjects apart: «contracts», «family», «clients». What is in one does not cross into another.
3. Drag the files onto the upload area, or click to pick them. It takes Word, Excel, PDF and plain text.
4. Wait for them to finish processing: each document is split up and indexed. You will see the counter climb.
5. Go back to the chat and ask as normal. JMAX will search the space and quote the document and the page.
6. To see how it all relates, press «See 3D map»: every document and every fact, joined by what they have in common.

When to use it

When you have paperwork you consult often: contracts, manuals, regulations, a client's history.

Who uses it

Anyone. Each person can have their own spaces.

Check you are asking in the right space: spaces do not mix, and that is on purpose.

The document stays processing

Scanned PDFs take longer because the image has to be read. Wait and reload the screen.

5.2 Metrics

Silver and up

What it is

What JMAX costs and how well it answers: usage per provider, spend for the month, budget and the stars you have been giving it.

What it is for

So there are no surprises on the bill, and so you know whether the answers are getting better or worse.

How to use it

1. Open «Metrics» in the menu.
2. At the top, the current month: how much you have spent and how much is left of the budget.
3. In the table by provider you see who is taking the money. If one shoots up, it shows there.
4. Set a spending cap so JMAX warns you — or stops — when it is reached.
5. Below, the stars: the average score and how it moves. That is the measure of whether it is working for you.

When to use it

Once a week, and always before increasing an agent's usage.

Who uses it

Whoever pays the bills.

If something goes wrong

Spending jumped all at once

Look at the table by provider and at your agents' intervals: one that wakes every five minutes costs twelve times one that wakes hourly.

5.3 Performance

Silver and up

What it is

The screen where JMAX shows whether it is improving: which brain actually delivers, what it has learned from its own failures and what still trips it up.

What it is for

Choosing a model on results rather than on reputation, with your tasks and your data. And seeing in black and white that today's system is better than last month's.

How to use it

1. Open «Performance» in the menu.
2. At the top, how many jobs were completed and how many were not, over the date range you choose.
3. In the brains table, each model with its success rate and how long it took. The one that pays off is not always the dearest.
4. Under «what trips it up», the failure families ordered by how often they happened, and which tool got past them.
5. Change the date range to compare two periods.

When to use it

After a month of use, when there is history. And before switching provider: the proof of whether it is worth it is here.

Who uses it

The administrator, or whoever decides what the money goes on.

5.4 Chat metrics

Silver and up

What it is

The chart button: it shows how this particular conversation is going — the stars you gave it, what it has used and how effective it was.

What it is for

Knowing what a conversation costs before turning it into an agent that will repeat it a hundred times.

How to use it

1. Press the chart button on the bar, under the writing box.
2. At the top of the panel, the average stars for this chat: the score you have been giving its answers.
3. Below, what it used: how many requests, to which provider, and how much this particular conversation cost.
4. Effectiveness compares what you asked for with what was delivered. If it drops, the jobs are usually ambiguous.
5. Close it with the cross. It does not interrupt the conversation or lose anything: you carry on where you left off.

When to use it

Before turning a conversation into an agent, and when a chat runs long.

Who uses it

Everyone.

5.5 Loading a whole folder

Gold and up

What it is

The «Load a folder» button in Memory: you pick your work folder, with all its subfolders, and JMAX learns everything inside at once. Gold and Diamond plans.

What it is for

So years of archive are not left out because uploading document by document is tedious. What was already there is not loaded again, so you can repeat it every month and only the new files go in.

How to use it

1. Open «Memory» and type the workspace (if you leave it empty, the folder name is suggested).
2. Press «🗂️ Load a folder» and choose the folder. Its subfolders go in too.
3. Look at the preview: how many documents go in, how much they weigh and what is skipped and why (unreadable formats, system files, too large).
4. Press «Load the folder». You will see the bar and where it is up to; you can cancel at any time and whatever is loaded stays.
5. When it finishes, the summary says how many were loaded, how many were already there and whether any failed. Go back to the chat and ask about their content.

When to use it

When starting with JMAX, to bring the archive in at once, and from time to time to add what is new without repeating what is old.

Who uses it

Whoever keeps their documents in folders: law firms, accountants, clinics, administration departments.

If something goes wrong

I don't see the «Load a folder» button

It comes with the Gold and Diamond plans. On Silver you can still pick several files at once with «Choose files».

It says there are too many

At most 5,000 documents per load. Choose a more specific subfolder and load it in parts.

Some say «were already in memory»

That is expected: that same content was already in the workspace and is not repeated. If you delete the workspace, it loads in full again.

⚙ 6. Settings and systems

What the administrator normally sets up once: connectors, brains, voice, security and channels.

6.1 Connectors

Silver and up

What it is

The screen where JMAX plugs into the systems you already use: your email, your calendar, your CRM, your files, the browser.

What it is for

So JMAX does not stop at conversation. With a connector it can read your real inbox, create the real appointment and look the client up in your real CRM.

How to use it

1. Open «Connectors» in the menu. You will see what is there, the connected ones in green.
2. To switch one on, press its toggle. If it needs something from you, the «⚙ Configure» button appears.
3. Press «⚙ Configure» and fill in what it asks for: a key, an address, a username. It is stored encrypted on your computer and travels nowhere.
4. Press «Save». The connector reconnects on its own, without restarting JMAX.
5. Check it turned green. If it asks for permission in the browser, you grant it: JMAX does not do that in your name.
6. To add one that is not on the list, press «Add connector» and fill in the form. No file has to be touched.

When to use it

At install time, to plug in what you use. And every time a new system turns up in your work.

Who uses it

The administrator. The keys to the company's systems are not usually in everybody's hands.

The connector is off or unconfigured. Switch it on here; if it is not on the list, add it with «Add connector».

The connector goes red after saving

The details are wrong or the system is not answering. Go back to «⚙ Configure» and check the address.

6.2 Providers

Silver and up

What it is

The screen for JMAX's brains: which artificial intelligence models it can use, which ones run on your own machine and which ones run in the cloud on your account.

What it is for

Choosing what JMAX thinks with. A local one costs nothing and never leaves your computer; a cloud one is more capable and is paid per use. This is where you decide which does what.

How to use it

1. Open «Providers» in the menu.
2. Pick the provider from the list: OpenAI, Anthropic, Gemini, DeepSeek and the rest.
3. Paste your account key into the key field and press «Save».
4. JMAX asks the provider which models YOUR account has and fills the list by itself. You will see how many it found.
5. Assign the roles: which model for day-to-day answers, which for the hard ones, which for vision. You can leave the ones that come set.
6. If a role is marked in red, the model it had no longer exists: the provider retired it. Pick another from the list.
7. For the models on your machine, press «Discover models»: it asks Ollama what is installed right now.

When to use it

At install time, to set at least one key. After that, when you want to change brain, when a red mark appears, or when a provider releases something new.

Who uses it

The administrator, or whoever holds the account keys.

If something goes wrong

The model list comes back empty

The key is not valid or has no permission. Check you copied it whole, with no spaces before or after.

«No credit» is not «broken model»

If a model answers that there is no credit, the problem is in your account with the provider, not in JMAX. Top up or use another.

A role shows in red

The provider retired that model. Open the list and pick a current one: JMAX already keeps it fresh.

6.3 Voice

Silver and up

What it is

The screen where you set how JMAX speaks to you and how it hears you: the microphone, the speaker, the voice it uses and in which language.

What it is for

Working without a keyboard. Talking to it while you do something else, and having it answer out loud when your hands are busy.

How to use it

1. Open «Voice» in the menu.
2. Pick your microphone from the list. If you have several, try them: when you speak, the level bar moves for the one in use.
3. Turn the gain up if the bar barely moves when you speak normally.
4. Pick the voice you want it to answer with and press the sample to hear it before settling.
5. Go back to the chat. The microphone is already listening: JMAX hears from the moment it opens, you press nothing to talk to it.
6. To stop it answering out loud, press the speaker in the header. It stays off until you switch it back on.

When to use it

At install time, to pick a microphone. After that, only if you change headsets or want a different voice.

Who uses it

Each person sets their own; JMAX remembers it.

It doesn't hear me

Voice → pick your microphone and check the level bar moves when you speak. It is nearly always the wrong microphone.

I hear it twice

There are two JMAX open. Close the browser tab and leave only the window.

6.4 Security and controls

Silver and up

What it is

The panel that shows and decides what leaves your computer and where to: the personal-data firewall, the encryption and the limits agents cannot cross.

What it is for

Being able to prove — to a client, to an audit, to yourself — that what is yours went nowhere. It is not a promise: it is a screen with rules you can read.

How to use it

1. Open «Security and controls» in the menu.
2. Look at the path: it shows, for each kind of data, whether it stays on your computer or may leave, and to which provider.
3. In the rules, decide what it does with the personal data it detects. «Pseudonymise» swaps it for markers before it leaves, and that is what comes set.
4. Review the guardrails: what agents are forbidden from doing, whatever happens.
5. Press «Check» to see a real example: the text exactly as it leaves your computer, with the data already swapped.

When to use it

Before plugging in a cloud provider for the first time, and every time you have to answer for where the data is.

Who uses it

The administrator sets it up; anyone can look.

6.5 Telegram

What it is

A bridge between JMAX and a Telegram bot: you write to it on Telegram and it answers there, with the same capabilities as in the window.

What it is for

Using JMAX from your phone, away from the desk, without installing anything. And sending it voice notes: it transcribes them and treats them as a message.

How to use it

1. On Telegram, talk to @BotFather and ask for a new bot with /newbot. It will give you a long token.
2. In JMAX, open «Connectors» and find Telegram.
3. Press «⚙ Configure» and paste the token. Press «Save».
4. Write to your bot from Telegram. The first time it will ask you to confirm who you are.
5. Check in the JMAX window that the conversation also shows up there: it is the same chat, seen from both sides.

When to use it

When you want to carry on working away from the desktop, or send it something on the move.

Who uses it

Any user, once the administrator has connected it.

6.5 WhatsApp

What it is

A bridge with your WhatsApp: JMAX reads and answers messages on your number, and understands voice notes.

What it is for

So the client writes where they always write and JMAX answers, without asking them to install anything or learn another app.

How to use it

1. Open «Connectors» and find WhatsApp.
2. Press «⚙ Configure». A QR code will appear.
3. On your phone, open WhatsApp → Linked devices → Link a device, and point it at the code.
4. Wait for the connector to turn green and for «connected» in the log. It can take a few seconds.
5. Send yourself a test message from another phone and check the conversation also appears in the JMAX window.

When to use it

When your main channel with clients is WhatsApp.

Who uses it

The administrator links it; everyone benefits from the result.

It disconnected by itself

The phone was off or without signal for a long time. Link it again with the QR.

It answers twice

An old bridge was left running. Restart JMAX and link again; there can only be one.

6.5 Slack

What it is

A bridge with your Slack workspace: JMAX takes part in channels and direct messages like any other member.

What it is for

So the team can ask it where they already work, and so agents' deliveries land in the right channel.

How to use it

1. At api.slack.com, create an app for your workspace and give it permission to read and write messages.
2. Copy the app's token.
3. In JMAX, «Connectors» → Slack → «⚙ Configure», paste the token and press «Save».
4. Invite the app to the channel where you want it to take part.
5. Write to it in that channel and check that it answers.

When to use it

When the team lives in Slack and you want JMAX to deliver there.

Who uses it

The Slack administrator.

What it is

A bridge with your Discord server: JMAX answers in the channels you give it access to.

What it is for

Looking after a community without keeping somebody on the chat at all hours.

How to use it

1. In the Discord developer portal, create an app and a bot, and copy its token.
2. Invite the bot to your server with permission to read and send messages.
3. In JMAX, «Connectors» → Discord → «⚙ Configure», paste the token and press «Save».
4. Write in a channel where the bot is and check that it answers.

When to use it

When you have a community or a team on Discord.

Who uses it

The server administrator.

6.6 Models on your machine

What it is

Brains that run inside your own computer, with Ollama. They need no internet and cost nothing per use.

What it is for

Working on confidential material without it leaving the computer, and not paying for every question.

How to use it

1. Install Ollama and download at least one model from its own app.
2. In JMAX, open «Providers» and find the local models.
3. Press «Discover models»: JMAX asks Ollama what is installed at this moment, not a fixed list.
4. Press «Test all models» to see which ones really answer on your machine.
5. Assign the one you want to a role. For confidential work, leave the local one in the day-to-day role.

When to use it

With data that cannot leave, or to avoid paying for simple questions.

Press «Discover models»: the list is asked for at that moment.

It is very slow

A large model on a machine with no graphics card takes time. Try a smaller one.

6.7 Models in the cloud

What it is

Brains that run on the provider's servers: OpenAI, Anthropic, Gemini, DeepSeek and the rest. More capable, and paid per use.

What it is for

The hard work: long analyses, reasoning, carefully written text. Where a small model falls short.

How to use it

1. Create an account with the provider and generate an access key.
2. In JMAX, «Providers», pick the provider and paste the key.
3. Press «Save». JMAX asks which models your account has and fills the list.
4. Assign the models to the roles.
5. Check in Security which data may go to that provider, and set a spending cap in Metrics.

When to use it

For demanding work. Combine it with the local ones: confidential inside, hard work outside.

Who uses it

The administrator, who holds the keys and pays.

The provider's catalogue is not what your account has contracted. Use the list JMAX brings when you save the key.

6.8 Speech transcription (Whisper)

What it is

JMAX's ear: it turns what you say — or a voice note somebody sent you — into text, inside your own computer.

What it is for

Talking to it instead of typing, and turning WhatsApp or Telegram voice notes into real jobs.

How to use it

1. It comes installed and working; there is nothing to configure.
2. Speak into the microphone, or forward it a voice note through a channel.
3. You will see the transcribed text in the conversation before it answers.
4. If it mishears a word, correct it in writing: it picks it up from the context of the chat.
5. The audio does not leave your computer: it is transcribed here.

When to use it

Whenever you speak instead of typing.

Who uses it

Everyone.

6.9 Local voice (Kokoro)

What it is

The voice JMAX speaks with, generated on your own computer, without sending the text to any service.

What it is for

So it answers out loud even with no internet, and so what it says does not pass through anywhere else.

How to use it

1. Open «Voice» in the menu.
2. Pick the local voice from the voices list.
3. Press the sample to hear it and adjust the speed if it is too quick.
4. Go back to the chat: the speaker in the header switches answering out loud on and off.
5. If the internet voice fails, JMAX falls back to this one rather than going silent.

When to use it

When you work offline or would rather nothing left.

Who uses it

Each person picks their own.

6.10 Encryption at rest

Silver and up

What it is

JMAX's databases — your conversations, your documents, its trace — stored encrypted with AES-256 on the disk.

What it is for

So that if somebody takes the laptop or copies the disk, they cannot read anything. It is the difference between losing a computer and losing the data.

How to use it

1. It is switched on at install; there is nothing to do.
2. Check in «Security and controls» that it shows as on.
3. The key is derived from your computer's registration, and is not stored anywhere readable.
4. If you change computer, the licence and the key are rebuilt on the new one: files are not copied across by hand.

When to use it

Always. It ships switched on.

Who uses it

Nobody has to touch it; the administrator checks it.

6.11 Pseudonymising personal data

Silver and up

What it is

The firewall that spots names, ID numbers, phones and emails, and swaps them for markers before the text goes out to a cloud provider.

What it is for

Meeting data-protection rules without giving up cloud models. The provider solves the problem without knowing whose it is.

How to use it

1. It ships set to «pseudonymise». Check it in «Security and controls».
2. It works on its own: every time a text is about to leave, it swaps personal data for markers.
3. When the answer comes back, it restores the real data before showing it to you. You never see markers.
4. Press «Check» to see the text exactly as it left, with the markers in place.
5. In client workspaces, the pseudonym map lives in a database separate from the documents.

When to use it

Whenever you use a cloud provider with people's data.

Who uses it

The administrator reviews it; it works with nobody intervening.

Change the rule to «block» in Security, or use a local model.

6.12 Guardrails

Silver and up

What it is

The limits an agent cannot cross, written in its profile and checked at every step.

What it is for

Being able to leave an agent working alone without worrying. An agent with no limits is a risk, not a help.

How to use it

1. Open the agent's profile, or its skill in the Bank.
2. Find the limits field: what it must never do.
3. Write one per line, in plain words: «never delete a client file», «never send an email without me reading it».
4. Press «Save». The limits always sit at the end of its instructions, which is where they carry most weight.
5. If the agent runs into one, it stops and tells you instead of carrying on.

When to use it

When creating any agent that will work on its own. It is not optional.

Who uses it

Whoever creates the agent.

7.1 Web search

What it is

The ability to go out to the internet to search and to read whole pages, not just the search engine's summary.

What it is for

So the answers have today's facts and not the ones from when the brain was trained. Prices, regulations, news, a supplier's page.

How to use it

1. There is nothing to switch on: JMAX searches by itself when the question calls for it.
2. If you want to force it, say so: look it up online, or check this page.
3. The answer carries the link to every source. Click it to open and check.
4. If you want it to read one particular page, paste the address into your message.

When to use it

Whenever the fact changes over time, or when you need the source to quote it.

Who uses it

Everyone, with nothing to set up.

The supporting browser may be closed. The administrator checks it in Connectors.

7.2 Vision

Silver and up

What it is

The ability to look at images: a photo, a screenshot, a scanned document, a photographed invoice.

What it is for

Not having to type out what is already in an image. You show it the photo and it tells you what it says or what it sees.

How to use it

1. In the chat, press the clip and pick the image, or drag it onto the writing box.
2. Write what you want to know about it: «how much does this invoice come to?», «what does this sign say?».
3. Send. JMAX looks at the image and answers about what it sees.
4. You can keep asking about the same image without uploading it again.

When to use it

With paper invoices, screenshots of an error, photos of a delivery note, anything that is an image and not text.

Who uses it

Everyone.

The vision role has no model assigned. The administrator sets it in Providers.

7.3 Image generation

Gold and up

What it is

The ability to create images from a description: an illustration, a thumbnail, a sketch.

What it is for

Having the image you need without hunting for it or paying for it, and without leaving the conversation.

How to use it

1. Ask for it in the chat in your own words: «make me an image of…», and describe what you want to see.
2. The more specific the description, the better it comes out: say the style, the colours and what has to be in it.
3. The image appears inside the conversation. Click to see it large or save it.
4. If it does not convince you, ask for changes to the same one: «lighter», «without the text», «landscape».

When to use it

For a presentation, a cover, a quick sketch of an idea.

Who uses it

Everyone, if the administrator set up a provider that has it.

It generates nothing

The image provider is not set up or has no credit left. Check it in Providers.

7.4 Video in the chat

What it is

A player inside the conversation: videos from YouTube, from Vimeo or from your disk play without leaving JMAX.

What it is for

Not losing your place. If the answer includes a video, it plays right there and you carry on talking.

How to use it

1. Paste a video address into your message, or ask it to find one.
2. When the answer closes, the embedded player appears. Press to watch it.
3. There is always a backup link underneath, in case the player will not load.

What it is

The connection to your Google account: Gmail, Calendar, Drive, Docs, Sheets and Slides.

What it is for

So JMAX works on your real documents: reading the inbox, creating the appointment, filling in the sheet, drafting the document.

How to use it

1. Open «Connectors» and find Google Workspace.
2. Press «⚙ Configure». The browser will open Google's permissions screen.
3. You accept the permissions yourself: JMAX does not do it in your name. Pick the right account if you have several.
4. Come back to JMAX. The connector turns green and the permission is saved; it does not have to be repeated.
5. Try it from the chat: «which important emails have I not answered?».

When to use it

When your email, your diary and your documents are on Google.

Who uses it

The administrator connects the account; after that anyone with access uses it.

What it is for

The same as with Google, for whoever works with Microsoft: reading the inbox, replying, creating appointments and searching the history.

How to use it

1. Open «Connectors» and find Outlook.
2. Press «⚙ Configure». Microsoft's permissions screen will open.
3. You accept the permissions yourself, with whichever account you want to use.
4. Come back to JMAX and check the connector turned green.
5. Try it: «summarise today's email».

When to use it

When the company works with Microsoft 365.

7.7 CRM

Silver and up

What it is

The connection to your client book: searching, consulting and noting in the CRM from the conversation.

What it is for

Not switching apps to answer «what did we sell this client last year?». You ask, and that is that.

How to use it

1. Open «Connectors» and find your CRM.
2. Press «⚙ Configure» and fill in the CRM's address and the access key. Press «Save».
3. Check it turns green.
4. In the chat, type the CRM shortcut — «/espocrm», for example — so the whole conversation centres on it.
5. Ask as normal: «find Ana Gomez», «what orders does she have open», «note that she called today».

When to use it

Every time you need a client's details while you are talking to them.

Who uses it

Sales and customer service; the administrator sets it up.

Check you used the CRM shortcut: without it, JMAX does not know where to look.

7.8 Desktop control

Silver and up

What it is

The ability to move the mouse and type on your own computer, to use programs that have no connector.

What it is for

Working with the old application that has no way of connecting: if you can do it with the mouse, so can JMAX.

How to use it

1. Open «Connectors» and switch on desktop control.
2. Leave the program you want it to work with in view.
3. In the chat, ask by describing what you would do: «open the invoicing program and find invoice 1042».
4. Watch it work. You can stop it at any moment with the red square.
5. Do not leave it alone the first time: check it does what you expected before trusting it with the task.

When to use it

As a last resort, when there is no connector for that program.

Who uses it

The administrator, and with the computer in front of them.

The window moved or changed size. Put it back as it was and ask again.

7.9 Paint

Silver and up

What it is

The ability to draw in Microsoft Paint, guided by what you ask for.

What it is for

A quick diagram, a sketch, an annotation over a screenshot, without opening a design tool.

How to use it

1. Open «Connectors» and switch on Paint. Check it turns green.
2. In the chat, describe the drawing: «draw a diagram in Paint with three boxes connected: order, review and delivery».
3. Paint opens by itself and you will see the drawing appear stroke by stroke. Do not touch the mouse while it draws: you would take control away from it.
4. If you want changes, ask for them in the chat on the same drawing: «add an arrow coming back», «bigger title».
5. Save it yourself from Paint when it looks right: JMAX does not write over your files unless told to.

When to use it

For simple diagrams and quick annotations.

Who uses it

Anyone, with the connector switched on.

7.10 Deep web extraction

What it is

The ability to get into pages that will not be read at a glance: the ones that need navigating, filling in a form or waiting to load.

What it is for

Getting data out of sites a normal search cannot reach: a tenders portal, a catalogue with filters, a record behind a form.

How to use it

1. Open «Connectors» and check the automated browser is switched on.
2. In the chat, describe the path: «go into this page, filter by Colombia and bring me the list».
3. JMAX navigates on its own and brings back what it extracted.
4. If the site asks for credentials, you put them in «⚙ Configure»; do not write them in the chat.

When to use it

When the data sits on a site that has to be navigated to reach it.

Who uses it

The administrator enables it; whoever needs the data uses it.

The supporting browser did not start with the debugging port. The administrator checks it.

7.11 Spreadsheet

What it is

The ability to create and change Excel or Calc sheets: not the text of a table, the actual file.

What it is for

Getting the finished file, with its columns and its formulas, instead of text you have to copy and format.

How to use it

1. Ask for it in the chat describing the sheet: which columns, which data and which totals.
2. JMAX creates the file and opens it finished. It does not type it cell by cell: it generates the .xlsx.
3. Check it and tell it the changes: «add a VAT column», «sort it by date».
4. Save it wherever you want from Excel or Calc itself.

When to use it

For comparison tables, listings, reports and anything that ends up in a sheet.

Who uses it

Everyone.

7.12 PDF

Silver and up

What it is

The ability to read PDF documents, scanned ones included, and pull out of them whatever you ask for.

What it is for

No more reading fifty pages to find one figure. You ask and it gives it to you, saying which page it was on.

How to use it

1. Press the clip in the chat and pick the PDF, or drag it onto the box.
2. Ask what you need: «sum it up in five points», «what is the delivery deadline?», «pull out all the figures».
3. The answer shows the page each fact came from.
4. If you are going to consult it many times, upload it to Memory instead: it stays there and you do not attach it every time.

When to use it

With contracts, invoices, reports and regulations.

Who uses it

Everyone.

It gets nothing out of a scanned PDF

It takes longer because the image has to be read. If it still gets nothing, the scan quality is too low.

7.13 Files

What it is

The ability to work with the files and folders on your computer: finding them, reading them, creating them and tidying them.

What it is for

So JMAX works on what you already have on disk, without you having to upload it anywhere.

How to use it

1. Tell it which folder to look in: «in the September invoices folder…».
2. Ask for what you need: search, summarise, rename, gather into one sheet.
3. JMAX shows which files it touched and what it did with each one.
4. To delete anything it always asks you first, even with autopilot switched on.

When to use it

When the work sits in loose files and not in a system.

Who uses it

Everyone, within the folders the administrator allows.

7.14 Forge: writing and running code

What it is

The ability to write a small program and run it to solve something that cannot be solved by talking.

What it is for

Calculations over thousands of rows, format conversions, quick tests. What would take hours by hand.

How to use it

1. Describe the result, not the program: «from this file of twenty thousand rows, give me the total per client».
2. JMAX writes the code, runs it and gives you the result.
3. If you want to see it, ask: «show me the code you used».
4. If the result does not add up, tell it what you expected: it corrects and runs again.

When to use it

With large volumes of data or repetitive transformations.

Who uses it

Anyone: you do not have to know how to code, you have to know what you want.

7.15 Teaching Mode

Silver and up

What it is

The ability to learn by watching you: you record once how you do something and JMAX turns it into a skill it can repeat.

What it is for

Teaching it a procedure of your own that is in no manual, without writing instructions.

How to use it

1. Open Teaching Mode and press «Record».
2. Do the task the way you always do it, slowly and without skipping steps. JMAX watches the screen.
3. Press «Stop» when you finish. JMAX writes down what it understood, step by step.
4. Read what it wrote and correct it where needed: it is text, it can be edited.
5. Add the limits: what it must never do when repeating this.
6. Press «Save». The skill goes into the bank and can be assigned to an agent.

When to use it

With your own in-house procedure, the one only one person knows how to do.

Who uses it

Whoever knows how to do the task, even with no technical background.

7.16 Flow runner

What it is

The ability to work in a loop — look, decide, act — and start again, checking each round, instead of doing one thing and stopping.

What it is for

Tasks that do not come out in one go: you have to look at how it turned out, correct it and try again until it works.

How to use it

1. Describe the goal and how you know it is achieved: «until the forty invoices are in the sheet».
2. JMAX works in rounds. The Detail panel shows each one: what it looked at, what it decided and what it did.
3. If it gets stuck, it tries another way on its own. You will see it in the panel.
4. It stops as soon as it meets what you asked for, or when it runs out of budget for attempts. Either way it tells you why it stopped.

When to use it

On long tasks with a checkable result.

Who uses it

Everyone; it is automatic when the job calls for it.
